JIRA Harmonization Meeting Minutes April 28 and May 5, 2009

  • PERSON related

1.) Assumption is that the requestor may not necessarily be the PI.
2.) change the pi first name field to be ‘First Name’ (required)
3.) add ‘Middle Initial’ field (required)
4.) change the pi last name field to be ‘Last Name’ (required)
5.) add checkbox for ‘requestor is same as PI’ (not required)
6.) add checkbox for ‘no PI/PI not identified’ (not required)
7.) add ‘PI First Name’ (not required)
8.) add ‘PI middle initial’ (not required)
9.) add ‘PI last name’ (not required)
10.) remove ‘contact name (if different from PI)’ from genetics and imaging forms
11.) remove ‘pi/faculty mentor’ from biostats forms


  • CONTACT related

1.) add ‘PI email’ (required if PI name fields are filled in)
2.) add ‘PI phone’ (not required)


  • DEMOGRAPHICS related

1.) rename institution/affiliation field to ‘primary institution’
2.) ‘primary institution’ will be alphabetical
3.) use the institution list that exists on the current pilot funding form (http://cbmi.catalyst.harvard.edu/formsJsf/pilotFunding.jsf )
4.) spell out the institution names in the dropdown
5.) for institution field remove conditionally rendered ‘please specify’ field when ‘other’ is selected from dropdown.
6.) For ‘faculty rank/position’ field, use biostats list (http://cbmi.catalyst.harvard.edu/formsJsf/biostat.jsf ) with the following changes:
a. Split ‘resident/research assistant’ to separate list entries.
b. Split ‘instructor/research associate’ to separate list entries.
c. Add ‘institutional official’ to list after ‘research associate’
d. Otherwise keep the same order of the list.
7.) Remove ‘department’ field from all forms
8.) Add ‘specialty’ field in place of ‘department’
9.) Use the ‘specialty’ dropdown from conferences & seminars for specialty list (https://connects.catalyst.harvard.edu/conferences/Home.aspx )
10.) Add ‘not applicable’ to specialty list.
11.) Add ‘other’ to specialty list.
12.) Change degree field to a list of checkboxes. Use the following list:
a. BS/BA
b. MS/MA
c. MPH
d. MBA
e. PhD/SCD/DRPH
f. DDS/DMD
g. MD
h. Other
13.) Remove title of person field from claim data form.


  • SPECIFIC TO PROGRAM related

1.) leave biostat triage question
2.) leave claim data datatype checkboxes
a. remove ‘if other please specify’ field
3.) leave clami data grant type checkboxes
a. remove ‘if other please specify’ field
4.) on claim data form, replace ‘If 'Federal grant', please specify (e.g. K23, R01, etc.)’ free text field with dropdown of federal grant types supplied by Donna


  • PROJECT DETAILS related

1.) add required ‘project title’ field to genetics, imaging, and claim data forms
2.) combine current fields ‘comment’, ‘reason for consult’, and ‘nature of research project’ into just 1 field named ‘reason for consultation’. This field is required.
3.) Each form owner may supply a specific subline for this box explaining what it is you would like to be entered into the field.
4.) Fields ‘consultation areas’, ‘project type’, and ‘category’ have been identified as the same field. We will harmonize the name of that field to be ‘consultation areas’
5.) In jira (backend) this field will be called ‘category’
6.) This field will be harmonized to be a list of checkboxes instead of a dropdown
7.) It is required that at least one checkbox is selected


  • REPORTING related

1.) add ‘evaluation agreement’ to each biostats & claim data forms
2.) this field will be required, but it will not be stored in jira.


  • JIRA related

1.) change ‘priority’ field to have the values ‘high’, ‘medium’, ‘low’ instead of the current 5 level values.
2.) Keep due date, original estimate, and attachment fields.
